Privacy notice
Optional public company directory
Employers can request publication of their professional company profile, which is also shown to resources looking for work. Public listings require employer opt in and admin approval. The directory shows only the selected company information and contact details, with aggregate feedback clearly labelled as reviews from resources, not end clients. Resource accounts, private account email addresses, accounts payable details, verification documents, project records and payment history are not published in the directory.
Anyone, including search engines, can view an approved public listing. Employers can remove their listing through their company profile controls. Removal stops publication on RezLynk but cannot remove copies already made by other people or search engines. Saving profile changes requires a fresh review before public publication.

This notice explains how RezLynk uses personal information when people visit the service, create an Employer or Resource account, use the marketplace, deliver a project, contact support or interact with RezLynk.
Who is responsible for your information
During controlled testing, RezLynk platform management acts as the controller for platform accounts, verification, matching, security, administration and operation of the marketplace. The final legal controller details and operating arrangements for RezLynk Ltd must be confirmed before wider launch. Employers and resources may become separate controllers for information they lawfully download or use for their own recruitment, project, tax, insurance or legal purposes. Their own privacy obligations then apply.
What we use and why
| Purpose | Personal information | Lawful basis |
|---|---|---|
| Record platform terms and subscription order acknowledgements | Signed in user identifier and email, account type and organisation identity, terms version and checksum, UTC acceptance time, cancellation request/confirmation/end dates and email delivery references, and the reviewed price, interval, allowances, discount, trial and proposal details. An acknowledgement is not proof of payment. | Contract where needed for the requested service and legitimate interests in demonstrating agreements and resolving disputes. These records are separate from marketing choices. The detailed retention and disposal schedule is being finalised; no automated purge is currently configured for this new category. Contact us about access, correction or deletion. |
| Publish an optional company directory listing | Employer chosen company name, logo, introduction, services, industries, town or city, coverage, project examples, website, optional public enquiry details, company check status and aggregate resource feedback rating and count. | Contract to provide the optional listing requested by the employer, and legitimate interests in providing transparent company information and accurately labelled resource feedback. Employers must have authority to publish the content and contact details they choose. |
| Handle contact enquiries, bug reports and change requests | Your signed in identity, account email, name, subject, category, messages, screenshots and files, case status, message dates, download audit and email delivery records. | Contract where needed to support your requested service, and legitimate interests in resolving complaints, investigating faults and improving the service. Privacy rights requests are also handled to meet legal obligations. |
| Manage subscriptions and Enterprise proposals | Company and contact details, annual renewal reminder dates, captured billing estimates, discount expiry and send/failure records, requested allowances, proposal terms and expiry, monthly and annual prices, chosen billing interval, acceptance identity and time, discount codes, Stripe customer and subscription identifiers, invoices and payment status. | Contract and steps requested before entering a contract, legitimate interests in supporting organisational account users, and legal obligations for accounting records. |
| Manage employer teams and custom onboarding | Staff identities and roles, invitations, employer configured onboarding requirements, resource responses and related approval records. | Contract and legitimate interests in administering the agreed working relationship. Employers must have a lawful purpose for the information they request. |
| Publish selected content and measure sponsored placements | Founder name, statement and selected photograph or video, sponsor content and links, placement views, visible time and clicks, and pseudonymous viewer codes. | Legitimate interests in explaining the service and measuring sponsorship, subject to appropriate rights and permissions for published content. Optional device tracking requires separate assessment. |
| Create and operate your account | Name, email address, account role, organisation, contact and profile details, sign in records and your notice acknowledgements. | Contract, where needed to provide the service you request. |
| Verify identity and protect the marketplace | Identity evidence, a live photograph, business evidence, review decisions, security records and audit events. | Legitimate interests in preventing impersonation, fraud and misuse. Identity evidence is reviewed by a person. RezLynk does not create a biometric template or use facial recognition. |
| Match employers and resources | Industries, skills, qualifications, experience, availability, approximate work location, service radius, profile image, credentials and selected public profile information. | Contract and legitimate interests in providing useful marketplace discovery. RezLynk does not collect continuous or precise live location. |
| Support applications and project delivery | Jobs, applications, invitations, questions, rates, messages, decisions, project status, documents, photographs, timesheets, reports, signatures, invoices and feedback. | Contract, and legitimate interests where records are needed to operate, secure or resolve issues with the service. |
| Send service communications | Email address, notification choices and delivery records. | Contract and legitimate interests for messages needed to operate the service. Optional marketing will use consent or another lawful route that has been separately assessed. |
| Meet legal, accounting and dispute obligations | Minimum subscription, payment, project, complaint, rights request, security incident and legal hold records. | Legal obligation and legitimate interests in establishing, exercising or defending legal claims. |
Where information comes from
Most information comes directly from you. RezLynk also receives information from the Employer or Resource you communicate or work with, people who provide a reference at your request, authorised account users, authentication and security providers, and records produced when the platform is used. If a third party supplies information about you, access remains limited to the relevant purpose and relationship.
Who can see information
- Verified Employers and Resources see the profile and marketplace information made available to their role and relationship.
- The parties to an application or appointed project see the information needed for that work.
- Authorised RezLynk staff see only the records required for their support, verification, finance, security or case role.
- Cloudflare provides hosting, database, file storage and security services.
- Malware scanning with Verisys, provided by Ionx Solutions LLP, is currently being tested using nonpersonal test data. Customer upload scanning is not yet active. Planned processing uses the UK endpoint to inspect file contents for malware before storage. We will confirm the applicable processing agreement and update this notice before activation.
- Clerk provides authentication and account sign in services.
- Resend processes transactional service emails, including support message text, Enterprise offers, recipient addresses and delivery information.
- Stripe provides hosted subscription checkout, billing management and payment processing. The current integration is test only. RezLynk receives billing identifiers and status records; payment card details are entered on Stripe hosted pages.
- Professional advisers, regulators, courts or law enforcement may receive limited information where the law requires or permits it.
RezLynk does not sell personal information. Sponsors receive aggregate or pseudonymous placement measurements, not member names, contact details or profiles through advertising reports.
Contact conversations and attachments
Use Contact us for support, Report a bug or Request a change. A conversation belongs to the signed in person who submitted it, rather than automatically being shared with every employer login. Authorised support staff can read and respond. Messages, status changes and attachment downloads are recorded.
You can attach up to three permitted files of 10 MB each to a message. Do not include passwords, payment card details, identity evidence or unnecessary confidential information. Attachments are stored privately and downloaded through access checks. Message text is included in service emails to you and the configured support recipients; attachments are accessed through the conversation rather than attached to those notification emails. Replies must be submitted through the conversation link, not by replying directly to the email.
Ratings, references and payment information
Reviews and colleague references may be displayed with relevant profiles. Employer payment indicators use recorded invoice and payment events and the applicable dispute workflow; they are not a credit score or guarantee of future payment. You can report inaccurate or disputed information through the relevant case controls or Contact us. Project invoices may be emailed to accounts payable addresses configured by the employer when authorised, so employers must keep those recipients accurate.
Public photographs and videos
Founder and advertising content selected for publication can be viewed by visitors. Public content may be copied by others. The person supplying it must have permission to publish the people, images, audio and other material it contains.
International processing
Some suppliers may process information outside the United Kingdom. Before real personal information is accepted in an external pilot, RezLynk must complete and record the relevant supplier locations, contracts and UK international transfer safeguards. This remains a launch requirement.
How long information is kept
Different records have different periods. Approved identity documents and live photographs are scheduled for deletion within 24 hours of review. Project photographs and uploaded documents are normally removed 14 days after project closure, unless an active dispute or legal hold applies. Other application, project, accounting, security and complaint records are subject to the category schedule. Not every category has a completed automatic disposal process; the retention notice identifies this implementation gap. Closing a support enquiry does not immediately delete its messages or attachments.
Read the complete account deletion and data retention notice.
Your choices and rights
Depending on the circumstances, you may ask RezLynk to:
- give you access to your personal information;
- correct inaccurate or incomplete information;
- erase information that no longer has a lawful reason to be kept;
- restrict how information is used;
- provide information in a portable form where that right applies; or
- review a concern about how information has been used.
A request can be sent to admin@rezlynk.com, or submitted through Contact us using the Privacy or data category. You do not need an account to email a privacy request. RezLynk may need to confirm your identity before acting on a request. Rights are not always absolute, and RezLynk will explain any lawful reason why a request cannot be completed in full.
Automated decisions and matching
Matching tools help people discover potentially relevant work or resources. They do not make a solely automated decision to hire, reject an application or remove a legal right. Employers and resources make the final decisions.
Security and children
RezLynk uses access controls, secure sign in, restricted administration, audit records and technical safeguards designed to protect personal information. No internet service can guarantee absolute security.
RezLynk is a business service intended for adults aged 18 or over. It is not intended for children and accounts must not be created for them.
Cookies and browser storage

Questions and complaints
Contact admin@rezlynk.com first so RezLynk can investigate and respond. You also have the right to complain to the UK Information Commissioner's Office. Visit ico.org.uk or telephone 0303 123 1113.
Changes to this notice
RezLynk will update this page when its processing, suppliers or legal operator details change. Material changes will be brought to members' attention where appropriate.
Annual renewal reminder copies follow the 90-day service email retention schedule, after their renewal date, subject to associated email legal holds. Aggregate run history follows the 24-month audit schedule. Removal depends on the retention process running. These operational copies are separate from contractual and cancellation evidence.
Project opportunities pilot
We process business opportunity summaries, private tender documents, proposals, quoted prices, conversations, awards, completion history, delivery partner orders and submission allowances to provide the requested service and maintain appropriate transaction and security records. Competing bidders cannot read one another’s proposals or private messages. New tender and proposal records do not yet have an approved automated disposal schedule. Use synthetic pilot content only until retention, rights handling and commercial approval checks are complete. Contact us for a record specific review; account deletion does not itself erase shared project evidence.
Delivery Partner records apply to verified businesses using either employer or resource accounts. Business approval is separate from identity verification. Ordinary resource work remains free.
Tender bidding has no free trial. Historical trial records may remain as restricted evidence. We compare employer company registration numbers and business email domains to flag possible duplicate accounts and record administrative decisions. A domain match does not grant access to another account. We retain employer trial identity claims to prevent repeat trials after account recreation. The retention period and erasure handling for these new records remain subject to pilot approval; contact us for a review.
