Account deletion and data retention

Notice version 2026-10-02.2

Deleting your account removes your profile, profile photo and verification uploads. RezLynk keeps only the records still needed to identify the parties, explain approvals and project decisions, account for payments, or deal with complaints and legal claims. These records stay separate from any new account you create with the same email.

What we keep and why

RecordWhy it is neededRetention and review
Contact enquiries, bug reports and change requestsResolve the enquiry and preserve relevant correspondence, attachments and case decisions.3 years after case closure. Reopening cancels the deadline. Authorised staff may approve earlier erasure or a documented hold with an owner and review date. Files and messages are removed together; failed removals remain queued for retry.
Enterprise enquiries and offersHandle the enquiry and evidence the proposed and accepted subscription terms, selected interval and allowances.Unsuccessful enquiries and unaccepted offers: 12 months after closure or the final offer expiry, using the later applicable date. Open enquiries without an offer require closure. Accepted offers and agreed accounts are excluded from automatic deletion pending confirmation of their contract schedule.
Service email copies and delivery activityConfirm sending, diagnose delivery failures and retry service communications.Platform email copies and delivery records: 90 days from creation, including failed deliveries, unless held for a documented reason. Retrying does not restart the period. Contract and case evidence is retained in its source record. Email provider and recipient copies have separate lifecycles.
Incomplete or unverified registrationAllow a person to complete account setup without keeping abandoned records indefinitely.Delete after 90 days without account activity if verification was never completed.
Account and verification decisionsIdentify the parties and explain which checks were completed, when and with what outcome.Keep while the account is active and normally for 12 months after closure. Where a decision formed part of a completed project record, limited decision metadata may be kept for up to 6 years from project completion. Approved identity documents and live selfies are deleted within 24 hours of review. Rejected or withdrawn evidence is deleted after 30 days.
Applications, projects and disputesExplain applications, agreed work, employer engagement and payment confirmations, decisions, delivery and complaints.Unsuccessful applications and enquiries are kept for 12 months. Core completed project records are kept for 6 years. Closed complaint and dispute records are kept for 3 years unless a specific legal hold applies.
Subscription and payment recordsExplain charges, subscription dates, cancellations and refunds, and meet accounting obligations.Keep the minimum accounting record for 6 years after the relevant financial year. This is not a reason to retain an entire customer profile.
Project photographs and uploaded documentsShare supporting evidence with both project parties.Normally removed after 14 days from project closure. Removal is paused while a related dispute or feedback case is open. Both parties should keep their own copies. Once the case closes, the original deadline applies; files already removed cannot be recovered.
Security and audit trailExplain who approved, changed, paused or deleted an account and which retention notice was acknowledged.Keep routine audit events for 24 months and short lived rate limit records for 90 days. Material incident records may be kept for 6 years after closure, with unrelated personal data removed.
Sponsored advertising analyticsMeasure how long sponsored images were genuinely visible, how often they were shown, link clicks and the number of distinct viewers. RezLynk uses a one way pseudonymous viewer code and does not give sponsors viewer names, contact details or profiles.Keep detailed pseudonymous measurements for up to 24 months, then delete or aggregate them so they can no longer distinguish individual viewers.

A fresh account remains separate

You can register again with the same email after deletion. Your new profile does not inherit old verification, ratings, projects or subscription usage. RezLynk can still identify the earlier account in its restricted records where needed for an audit, dispute or deletion safeguard. Separate staff sign ins are retained so those users can create a new customer profile after signing in.

Access and your rights

The retained archive is available only to authorised RezLynk staff with an audit, legal, security or case purpose. The other party retains access to the shared records of their own project while those records remain within the approved period. A returning account does not gain access to them automatically.

Acknowledging this notice records that it was shown to you. It does not waive your rights or provide blanket consent to keep unnecessary information. You can request access, correction or erasure by contacting RezLynk administration. We will explain any record we still need to retain and the reason.

Review and disposal

The approved schedule sets periods by category; implementation and disposal evidence must be checked separately. A staff review does not extend retention automatically. A longer period requires a documented legal obligation, complaint, fraud investigation or legal hold with an owner and review date.

Deleting the platform copy cannot remove copies already downloaded by another party. Backup copies expire through the hosting provider lifecycle and must not be restored into active use without reapplying valid deletion records.

Project opportunity pilot records

Tenders, private proposals, conversations, files, awards, delivery completion history, subscription orders and submission balances are a new record category. An approved disposal schedule and dedicated hold/erasure controls are still outstanding. Existing resource closeout file deletion does not cover these separate records. Use synthetic TEST ONLY content pending approval. Active delivery partner billing and awarded work must be resolved before account deletion.

Delivery Partner records apply to verified businesses using either employer or resource accounts. Business approval is separate from identity verification. Ordinary resource work remains free.

Tender bidding has no free trial. Historical trial records may remain as restricted evidence. We compare employer company registration numbers and business email domains to flag possible duplicate accounts and record administrative decisions. A domain match does not grant access to another account. We retain employer trial identity claims to prevent repeat trials after account recreation. The retention period and erasure handling for these new records remain subject to pilot approval; contact us for a review.
